The everyday problem

Nobody is paid to notice.

The invoice that was never raised, the reminder that went out three weeks late, the tool still billing a team that left — none of it is anyone’s job until the quarter closes and the number is short.

What it does

Six agents, one role

Receivables agent

The reminder goes out on day one, not when someone remembers.

  • Drafts the reminder in the tone you already use
  • A different note at fifteen, thirty and forty-five days
  • A person sends it; nothing leaves on its own

Invoice-to-deal reconciliation

Every won deal has an invoice, or a name beside the gap.

  • Won deals with no invoice, invoices with no deal
  • Invoiced and pending totals written to the customer record
  • Doubtful matches asked about, never guessed

Vendor & SaaS spend audit

The subscription nobody uses stops renewing quietly.

  • Recurring charges listed against who still uses them
  • Duplicate tools and unused seats flagged
  • Renewals surfaced before the date, not after

Discount & pricing control

A discount past policy reaches finance before the customer.

  • Every quotation checked against the discount policy
  • Exceptions routed to finance with the deal beside them
  • The policy is yours; the agent only applies it

GST & filing calendar

The filing date arrives with the workings attached.

  • GST and TDS return data assembled on the calendar
  • Missing inputs named, not silently skipped
  • Your accountant files; the agent prepares

Cash position digest

Monday’s cash position, in sentences, before the meeting.

  • What is due in, due out, and who has slipped
  • Ageing computed from your records, shown with the working
  • One page, the detail linked beneath

How the work moves

Who does which step

  1. 1AI agent

    Read

Ledger, CRM and bank feed, read-only.

  2. 2AI agent

    Match

Invoices to deals, payments to invoices.

  3. 3AI agent

    Flag

Overdue, unbilled, past policy, due to file.

  4. 4AI agent

    Draft

The reminder, the escalation, the return data.

  5. 5Your team

    Approve

A person sends, signs and files.

Where it stops Read-only against your ledger by default. It never sends a reminder, applies a credit or files a return on its own — it prepares, and a person approves. Where a match is doubtful it asks rather than writes.

The ladder, drawn

What happens after day zero

  1. Day 0

Invoice raised and matched to its deal.

  2. Day 15

A gentle reminder, drafted in your tone.

  3. Day 30

    Statement drafted, a call requested.

  4. Day 45

Escalated to your director with the history.

  5. Beyond

Off the ladder. A person takes it over.

Questions we are asked

Before you commit

Does it send reminders to our customers on its own?

No. It drafts the reminder in the tone of the ones you already send, with the invoice and the days overdue filled in, and a person sends it. Escalation follows the ladder you set — a different note at fifteen, thirty and forty-five days — and each step is still a person’s click.

Which accounting systems does it work with?

The ledger you already run — Zoho Books, Tally or an ERP with an interface — plus your CRM and, where you allow it, the bank feed. It reads by default. Write-back into named fields is a separate permission.

What happens when an invoice and a deal do not obviously match?

It asks. Names in a ledger and names in a CRM rarely agree, so it matches by evidence, writes only the confident matches, and puts the doubtful ones in front of a person with its candidates listed. In case of doubt it never picks.

Does an AI model produce the figures?

No. Totals, ageing and pending amounts are computed from your records, the same way every run, and the working is shown. A model writes the reminder and the digest around them. Nothing numeric is generated.

Can it handle GST and TDS filing?

It prepares. The return data is assembled on the calendar with the inputs it could not find named, and your accountant or CA files it. It replaces the scramble the week before, not the professional who signs.

Where does our financial data sit?

In your systems, on your infrastructure or a cloud region you choose. Bank-feed and ledger credentials never leave your estate, and write-back is scoped per field — an agent allowed to update an invoiced total cannot touch a payment.

Start with the money already owed to you.

One export, your ledger, a list of what to chase. That is a small enough first step to say yes to.
